Flow of Work Process (This is the way)

I implemented a new streamlined UX Task process that improved efficiency and quality. The new system reduced planning meetings time, ensured all tasks had clear success outcomes, and improved cross-team collaboration within the R&D department.

The Process Need

The design team faced a significant challenge when the R&D organization changed its system of record twice within a short period. These transitions led to breakdowns in efficiency and increased employee frustration. Each team across R&D began working differently, which became particularly difficult for our design team, as we supported multiple teams simultaneously.

Streamlined Process

I collaborated and implemented a new UX Task process for the design team. This process was designed to improve work quality by ensuring that every task had a well-defined success outcome, a clear user story or problem statement, and an anticipated release date. Additionally, we created a clear structure for determining which tasks required design support and which did not.

Results

The results were impressive. Not only did the quality of design work improve, but my team’s efficiency also saw a significant boost. By clearly defining our tasks and streamlining communication, planning meetings reduced by 20%, rework decreased by 8%, and overall task speed increased by 11%. This process brought consistency to how designers worked across product teams and ensured that work was correctly prioritized and credited."
